Assumptions
The following standards apply to summarized and detailed serials holdings
data entered in MARC holding (MHLD) records, and to serials check-in records
if the record is coded to display in the OPAC.
ALADIN contains records which have been created by direct input, by
the Union List loader program which interpreted BNA tag 852 (built from
OCLC LDR's), and from various other loader programs which interpreted data
in 049's and 966's. If these records do not conform to the recommended
standards, each library assumes the responsibility for updating its records
to meet the standards.
Standards
- ANSI Serial Holdings Statements, Z39.44, levels 3A or 4, enumeration and
chronology element, will be used for new or edited MHLD records; level
4, enumeration and chronology element, will be used for serial checkin
records.
Level 3B is an acceptable format for existing serial holdings. When
level 3B data is edited for any reason, it must be edited to conform with
level 3A or 4. The records created by the Union List loader program are
considered to conform with level 3B.
- The choice of the level of input can vary from record to record for an
institution.
- MHLD records and serials checkin records must be updated to reflect updates,
i.e. cancellations, cessations, reinstatements.

Enumeration [Mandatory in levels 3 and 4]

The highest value of enumeration appearing on the publication is used to
identify the basic bibliographic unit for Level 3.

All hierarchical levels of enumeration appearing on the publication are
used for Level 4.

All numeric information is converted to Arabic numbers, e.g. First ed.
becomes 1st ed.

Uppercase and lowercase characters are used as they appear on the publication.,
e.g. 23a no.36B

Captions are recorded in the vernacular form as they appear on the publication,
romanized if necessary. Captions are abbreviated following "Abbreviations:,
Appendix B, Anglo-American Cataloging Rules, Second Editions, pp. 551-559.

For level 3A and level 4, captions are mandatory if they appear on the
publication, for level 3B captions are required if available.

When a publication has combined numbering, the numbers are separated by
a diagonal, e.g. v.1/2.

Enumeration data is recorded from highest level to lowest level. Use a
colon to separate each level, e.g. v.1:no.1

If a serial does not carry enumeration it is not supplied.
Chronology [Mandatory in Levels 3 & 4]

The highest level of chronology is recorded for Level 3 holdings.

All levels of chronology are recorded for Level 4 holdings.

If there is more than one date use the following order: date of coverage,
publication, copyright, printing. Do not use reprint date.

The format for years is four digits. In level 3 holdings a final hyphen
is used if the holdings are open, e.g. 1968-. In level 4 this form of open
ended statement is not permitted.

Use a diagonal if chronology data spans a noncalendar year or more than
one year, e.g. 1968/1970- or 1980/1982.

There is no punctuation at the end of a closed statement, e.g. 1968-1976

Record months, days, and seasons in vernacular form as they appear on the
publication, romanized if necessary. Abbreviate according to "Abbreviation",
Appendix B, Anglo-American Cataloguing Rules, 2nd ed.

Record chronology from highest level to lowest level. Use a colon to separate
each level, e.g. 1980:Jan.

If a publication doesn't carry chronology data, don't supply it.

Indicate gaps using a comma (optional for level 3, required for level 4),
e.g. v.58:no.3,v.58:no.5

Use a semicolon to indicate non-gap breaks, e.g.[level 3A) v.1(1950)-v.4(1953);v.6(1955)-v.10(1959)

Option 3A requires recording of enumeration and chronology together, enumeration
first and chronology in parentheses, e.g. v.1(1950)-v.10(1959)

If supplements and indexes are not described in separate bibliographic
records, they are considered below the first order designator and are not
recorded in level 3 holdings statements.

Holdings for multiple copies can be recorded together (composite statement),
or separately (copy specific).

Option 4 requires that the enumeration and chronology be recorded together,
e.g. v.1:no.1(1976:Jan.)-v.1:no.2(1976:Feb.)

Record enumeration and chronology in a logical sequence, from lowest level
to highest.

Indicate gaps in a positive sense, e.g. v.22:no.1(1982:Jan.)-v.22:no.6(1982:June),v.22:no.8(1982:Aug.)

Enumeration/chronology data can be compressed. Use a hyphen to indicate
compressing, e.g. v.1:no.1(1976:Jan.)-v.1:no.4(1976:Apr.)

Holdings for multiple copies can be recorded together or separately.

Record supplements that are not described in separate bibliographic records
in separate holdings statements. The ANSI standard relies on a code in
the type-of-holdings designator to indicate the type of supplement, e.g.
d for index, c for supplement. These codes are not used in the detailed
or summary holdings statements in Aladin records. Therefore, a term for
the type of material, e.g. INDEXES or SUPPLEMENTS, should precede the enumeration/chronology
data.
